At a glance: Your workspace and AI history are stored on your Mac. Connected services synchronize the sources you authorize. Optional AI sends relevant schedule or task context to external providers. This website has no advertising or application-level tracking.

1. Who we are

This Privacy Policy explains how Velion Arc LLC ("we", "us", or "our") handles information in Calendar Planner, our macOS calendar and task application, and on this product website. Contact us at support@zyntrixal.com.

Calendar Planner brings together local events and tasks, Google Calendar and Google Tasks, calendars and reminders available through macOS, local notifications, and optional AI assistance. You choose which connections and features to use.

2. Information we process

  • Google account and authorization information: your Google account identifier and email address, granted permissions, and OAuth credentials used to connect the services you authorize. Google authorization credentials are stored in macOS Keychain; account and source preferences are stored locally.
  • Calendar and task information: source names, identifiers, colors, permissions, event titles, times, time zones, locations, notes, links, reminders, recurring-event information, task titles, due dates, completion states, and related metadata. Local synchronization records can include original Google resource data, participant or organizer information, remote identifiers, update markers, and pending changes.
  • Apple calendar and reminder information: events, reminders, lists, and related details made available through macOS after you grant permission.
  • Local content: events and tasks you create, preferences, synchronization caches and pending operations, notification settings, and saved AI conversations.
  • AI requests: your question or instruction and the relevant date, time zone, event, task, or schedule context included by the feature. AI credentials and a device-based identifier are stored in Keychain to support the AI service and local history association.
  • Support information: your email address and the messages, screenshots, files, or diagnostic details you choose to send.
  • Technical information: IP addresses, request headers, timestamps, error information, and other connection records processed by service providers to deliver and protect the website or AI service.

3. Why we use information

We use information to display and organize your schedule, synchronize the sources you connect, save and submit changes you request, maintain preferences and local history, deliver notifications, process optional AI requests, answer support inquiries, and keep services secure and reliable. We may also process information to meet legal obligations or resolve disputes.

Where European or UK data protection law applies, the basis depends on the activity: performing our agreement for requested features and support; legitimate interests in security, troubleshooting, and protecting legal rights, subject to your rights; legal obligations; or consent when required. You can withdraw consent for future processing. This does not affect processing that was lawful before withdrawal. A feature may be unavailable without the information or permissions it needs.

4. Google access and Limited Use

Google sign-in requests account identity and email access, read access to your calendar list, and access to Calendar events and Tasks. Depending on the authorization flow and permissions you grant, access may be read-only or include creating, updating, and deleting supported events and tasks. Calendar-list access lets the app identify available calendars; it does not request calendar-administration permissions. Write features also depend on source permissions and the types of objects supported by the app.

Your Mac communicates with Google APIs for these operations. Calendar Planner stores a local mirror, original resource data, synchronization state, and pending changes so it can display your workspace and manage synchronization. Granting API access does not automatically submit your whole account to AI. AI features send the relevant context described below when you use them.

Calendar Planner's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We use Google data to provide the user-facing features you choose. We do not sell it, use it for targeted advertising or credit decisions, or use it to train or improve generalized AI models. We do not authorize those uses by providers. Transfers are limited to providing those features, security, legal obligations, and other cases allowed by that policy.

Our personnel do not routinely read your Google calendar or task content. Human access to Google user data is limited to circumstances permitted by Google's policy, such as your affirmative permission to inspect specific material sent to support, a necessary security investigation, or a legal requirement. These limits also apply to people acting on our behalf.

5. Optional AI processing

AI requests run when you use an assistant action or send a message. The app sends your instructions and relevant context through our Cloudflare-hosted gateway at aiapi.zyntrixal.com to OpenRouter and the model provider serving the request. The current app configuration requests a DeepSeek model; models and available providers may change.

Context may include the selected date, current date and time, time zone, event or task titles, start and end times, source names, locations, notes or excerpts, due dates, completion state, priority, and links. Questions about a broader period may include events in that period. This can include information from Google or Apple sources as well as local items. The app authenticates to the gateway with a separate AI credential; its AI request does not include your Google OAuth access or refresh token.

AI requests are processed outside your Mac. Provider processing and retention are governed by the relevant service terms, privacy policies, and service-account settings, including OpenRouter's Privacy Policy. This policy does not promise that every infrastructure provider keeps no technical records. We do not use your requests or Google user data to train generalized models or authorize that use. Saved conversations and responses are kept locally in the app.

Use non-AI features if you do not want schedule or task context sent to an AI provider. Do not include information you are not authorized to share. AI can make mistakes: review suggestions and event drafts before saving or acting on them. Creating or changing an event still requires your action in the app.

6. Support and diagnostics

The app's feedback action opens an email draft that includes the app name, version, and macOS version. You can review or change it before sending. Screenshots, logs, and other attachments reach support only if you include them. Remove unnecessary calendar details, personal information, and credentials.

The current app does not include an application-level third-party analytics or crash-reporting SDK. Operating-system or distribution-platform diagnostics follow that platform's settings. Hosting and AI providers may independently process technical records for service delivery, security, and troubleshooting.

7. Service providers and sharing

Information is processed where needed by Google for account authorization and Calendar or Tasks operations; Apple and macOS services for system calendars, reminders, Keychain, and notifications; Cloudflare for website hosting, gateway delivery, and infrastructure security; OpenRouter and downstream model providers for AI requests; and email providers for support correspondence.

We do not sell personal information or share it for targeted advertising. We may disclose relevant information with your permission, to meet legal requirements, or to address abuse or security threats. A business transfer may involve relevant records, subject to applicable law and the Google-data restrictions above. Providers acting for us may process information only for the relevant service and applicable legal or security requirements.

Infrastructure may process information in countries other than your own. Where applicable law requires safeguards for a transfer we make, we will use those safeguards. See the Google Privacy Policy, Apple Privacy Policy, Cloudflare Privacy Policy, and OpenRouter Privacy Policy for their practices.

8. Storage, retention, and deletion

Events, tasks, connected-account metadata, source settings, original remote resources, caches, synchronization state, pending operations, and AI history are stored locally on your Mac. OAuth credentials, AI credentials, and the device identifier are stored in Keychain. Google authorization web-session information may also remain locally. The product website has no application database of your schedule.

Successful synchronization refreshes local records and processes reported removals or cancellations. Cached data can remain while a source is paused, offline, unavailable, or awaiting authorization. Pending changes can remain locally until submitted, resolved, or explicitly discarded. A local cache is not an independent backup.

Disconnecting a Google account stops its use in the app and removes its saved account authorization. Associated source mirrors are cleaned up through the app's synchronization lifecycle. If pending event or task changes exist, the app requires you to resolve them or choose whether to keep local copies or discard pending changes before disconnecting. Disconnecting does not delete your Google Calendar events or Google Tasks, and does not automatically delete local manual items or saved AI conversations. Revoking permission at Google is a separate step.

Local content and history remain until deleted through available controls or by removing the app's local data. Uninstalling alone may leave local files, web sessions, or Keychain entries. Contact support for guidance before removing local data, especially if changes have not synchronized. We cannot remotely erase information held only on your Mac.

We retain support correspondence for as long as necessary to handle the request, keep relevant support records, resolve disputes, or meet legal duties, then delete or anonymize it. Technical records follow the relevant provider's configured retention. Information independently held by Google, Apple, or an AI provider follows that provider's deletion procedures.

9. Your choices and privacy rights

  • Choose which Google accounts, calendars, and task lists to connect, display, or synchronize in Settings.
  • Disconnect Google accounts in the app and separately revoke permission through Google Account connections.
  • Manage Apple calendar, reminder, and notification permissions through macOS System Settings.
  • Delete local events and tasks, and manage saved AI conversations using the controls available in the app. Confirm which source you are changing: supported remote deletions can synchronize to that service.
  • Choose not to use AI if you do not want contextual information sent to AI providers.
  • Contact support@zyntrixal.com to request access, correction, or deletion of information we hold, or to raise a privacy concern.

Depending on applicable law, you may also have rights to portability, restriction, objection, withdrawal of consent, and a complaint to a data protection authority. An authorized representative may act where permitted. We may verify identity and authority before responding within applicable legal time limits. If a request cannot be fulfilled, we will explain why and any available appeal process. We do not penalize you for exercising privacy rights.

10. Website and external services

This website provides product information, policies, and support links. It has no login, download, payment form, advertising scripts, front-end JavaScript, or application-level analytics. It does not set its own cookies or browser storage. Cloudflare may process connection information and apply infrastructure security measures.

Linked websites, Google sign-in, distribution platforms, and email services operate under their own policies and may use their own cookies or storage. Google sign-in web sessions inside the app are separate from this website.

11. Security and children

We use HTTPS for service communications and macOS Keychain for credentials. No storage or transmission method is completely secure. Protect your Mac and accounts, and do not send passwords or access tokens to support.

Calendar Planner is intended for a general productivity audience and is not directed to children under 13. If you believe a child has provided personal information to us, contact support@zyntrixal.com.

12. Updates and contact

We may update this policy as the product or its practices change. The effective date identifies this version. We will provide additional notice or obtain consent when required for material changes.
